Why the phone goes unanswered
The calls that slip away
Out on a viewing
A vendor ready to sell rings while your negotiator is showing a flat across town. If nobody answers, they ring the next agent on the high street.
Evenings and weekends
People think about moving after work and at the weekend, which is exactly when the office is shut.
Tenants with a problem
A leak at nine at night needs taking down properly: which property, what is wrong and whether it is getting worse. A voicemail heard in the morning is none of those.
An example
A valuation, booked in the evening
Written to show the shape of a call for this trade. It is not a recording of a real one.
Hello, I'm thinking of selling my house and wanted to get a valuation.
Of course, I can book that in. Whereabouts is the property?
It's in Didsbury, M20.
Thank you. Is it a house or a flat, and how many bedrooms?
A three-bed semi.
And are you hoping to sell soon, or finding out what it's worth?
Probably in the spring.
I can do Thursday at eleven or Saturday at ten for the valuation.
Saturday at ten.
Lovely. Can I take your name, and is the number you're calling from the best one?
Priya Shah, and yes.
You're booked in for Saturday at ten, Priya. Thanks for calling.

What it asks
The questions you would ask
You write these yourself, in your own words, and change them whenever you like. These are examples of the shape they take.
Someone selling or letting
- Is it a house or a flat, and how many bedrooms?
- Are you hoping to sell soon, or finding out what it's worth?
- Is it on the market with another agent at the moment?
Someone buying or renting
- Which property was it, and did you see it on our website?
- Do you have somewhere to sell first, or are you ready to move?
- When could you come to a viewing?
A tenant with a problem
- Which property is it, and what has gone wrong?
- Is water coming in, or is anyone without heat or hot water tonight?
- When can someone get in to look?
What it does with the call
Something happens after every call
Books valuations and viewings
Into your Google Calendar, in the hours you allow, with each kind of appointment the length you set. It reads your diary as it offers a time and holds it while the caller is still talking, so the same slot cannot go twice.
Answers from your listings
Add your listings page, your fees or anything else to its knowledge base and it answers from them. When the listings change, have it read the page again.
Marks the urgent repairs
A leak, or a tenant without heat, is marked urgent and you are told at once, by email or a notification on your phone. It never promises the tenant how soon someone will come.
Writes every call up
A summary, the transcript and the caller's details, searchable later, and sent on to Zapier or a webhook of your own if you use one.
Questions
The ones worth asking
Including the answers that cost us something. If a limit is real we would rather you read it here than find it out on a busy day.
Can it book a viewing for a particular property?
It books the viewing into your calendar and notes which property the caller asked about. It only knows which properties are still available from what you give it: your listings page in its knowledge base, or your own words.
Does it handle lettings as well as sales?
Yes. You write what it asks, and you can tell it to ask someone selling different questions from someone renting, or from a tenant reporting a repair.
We have more than one branch.
Each branch can be a business of its own on DeskCaller, with its own number, its own calendar and its own plan, all from one sign-in.
What happens if two people ring at once?
The second caller does not get through. One number carries one call at a time: a limit of the carrier, not a setting we can change, on every plan. We would rather you read it here than find it out on a busy morning.
Can it put a caller through to me?
Not yet. Putting a caller through to a person is on the roadmap and is not in the product. Today it takes their details and what they want, and you are told straight away.
Do I keep my number?
Yes. Forward your existing number to the one we give you and keep it exactly as it is.
Do I have to set it up for my trade?
Yes: you write what it asks, in your own words, the way you would brief a new starter. The target is fifteen minutes, on your own. The questions on this page are examples of the shape they take, not a script that comes with it.
